Purpose. The standard layout for pricing and presenting wedding and event floral work to a client, including terms and the deposit schedule.

1.How to use this template

Complete the template from the design brief after the consultation. Price each item from the current cost sheet using the standard markup, then add labour, delivery, hire, installation and bump out as separate lines. Do not bundle labour into product prices.

2.Item descriptions

Describe each item so that the client can picture it: the size, the style, the key flowers and colours, the vessel or mechanics, and the quantity. Name flowers by their common name and note where a flower is subject to seasonal availability.

3.Pricing rules

Product prices are cost of stock times the standard markup plus sundries. Labour is charged per designer hour for production and per crew hour for installation. Hire items are charged at the daily rate plus a refundable bond. All prices must be shown inclusive of GST.

4.Terms

The quotation must include the validity period, the deposit amount and due date, the final balance due date, the change and cancellation terms, the substitution clause and the hire return conditions. The Events Manager must approve quotations over five thousand dollars.

5.Presentation

Quotations are sent as a PDF with the mood board attached. The register entry must be updated to Quoted with the amount and the date sent, and followed up after seven days.
